- Acceptance of Terms:
By utilizing the services provided by Southern Voices (hereinafter referred to as “the Company”), you (hereinafter referred to as “the Client”) agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you must not use our services.
- Services Provided:
The Company provides telephone answering and message delivery services, including but not limited to:
- Answering incoming calls according to Client-specified scripts and instructions.
- Taking and relaying messages via email, SMS, or other agreed-upon methods.
- Scheduling appointments or providing basic information as directed by the Client.
- Forwarding calls to designated numbers.
- Using Southern Voices Web Portal
- Client Responsibilities:
- The Client is responsible for providing accurate and up-to-date information, including contact details, call scripts, and instructions.
- The Client agrees to notify the Company of any changes to their contact information or call handling procedures.
- The Client is responsible for the content of their outgoing messages and any actions taken based on messages received.
- The client is responsible for paying all invoices in a timely manner.
- The client is responsible for informing the company of any sensitive or private information that must be handled in a special way.
- Company Responsibilities:
- The Company will provide answering services in a professional and timely manner.
- The Company will make reasonable efforts to deliver messages accurately and promptly.
- The Company will maintain the confidentiality of Client information, subject to legal requirements.
- The Company will provide a record of all call activity as requested by the client, according to the level of service purchased.
- The Company will keep recordings of calls for 30 days and messages for 90 Days.
- Payment and Billing:
- The Client agrees to pay the fees outlined in the agreed-upon service plan.
- Invoices will be issued on a 28-day billing cycle.
- Payment is due within 15 days of invoice date..
- Late payments may be subject to a 5% charge on past due balance.
- The company reserves the right to suspend or terminate services for non-payment.
- Limitation of Liability:
- The Company is not liable for any indirect, incidental, consequential, or punitive damages arising from the use of our services.
- The Company’s liability for any direct damages shall be limited to the amount paid by the Client for services during the [state time period, e.g., one month] preceding the claim.
- The Company is not responsible for the content of calls or for any actions taken by callers or clients.
- The Company is not responsible for technical failures outside of the company’s direct control.
- Confidentiality:
- The Company agrees to keep all Client information confidential and will not disclose it to third parties without the Client’s consent, except as required by law.
- Employees of the company are required to sign confidentiality agreements.
- Termination of Service:
- Either party may terminate the service with 30 days written notice.
- The Company may terminate the service immediately for breach of these terms or non-payment.
- Upon termination, the client is responsible for paying all outstanding balances.
- Modifications to Terms and Conditions:
- The Company reserves the right to modify these Terms and Conditions at any time.
- Clients will be notified of any changes, and continued service use constitutes acceptance of the modified terms.
- Governing Law:
- These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of North Carolina.
- Entire Agreement:
- These Terms and Conditions constitute the entire agreement between the Client and the Company and supersede all prior agreements or understandings.
